Terms & Conditions for Dental Nurses

These Terms & Conditions govern the engagement of qualified locum dental nurses by ChairSide Assist Ltd (hereinafter referred to as ‘CSA Ltd’) for temporary assignments
By registering with CSA Ltd, applying for assignments, or accepting shifts through CSA Ltd, you (the “Nurse”) agree to be bound by the following Terms and Conditions.

These Terms and Conditions outline:

• The Nurse’s professional duties, responsibilities, and conduct while on assignment;

• Health, safety, safeguarding, and infection control requirements;

• Payment terms, expenses, insurance obligations, and workplace policies;

• Behavioural standards, confidentiality, and data protection obligations.

By accepting shifts with CSA Ltd, you acknowledge that you have read, understood, and agreed to comply with all policies contained herein, ensuring a safe, professional, and compliant working environment for yourself, patients, and the dental practices to which you are assigned.

1. Registration and Applications

1.1 Nurses may register with CSA Ltd via the company’s website, WhatsApp, email, or telephone.

1.2 All information provided during registration and thereafter must be accurate, up to date, and verifiable.

1.3 CSA Ltd reserves the right to verify all information and documentation provided at any stage of engagement.

2. Fitness to Work / Right to Work

2.1 Nurses must confirm that they are legally entitled to work within the United Kingdom.

2.2 Nurses must confirm that they are fit to practise in accordance with NHS and professional standards.

2.3 CSA Ltd reserves the right to request documentation evidencing the Nurse’s right to work and medical fitness.

3. Professional Registration (GDC)

3.1 Nurses must hold a current and valid registration with the General Dental Council (GDC) at all times.

3.2 Proof of GDC registration must be provided to CSA Ltd upon request.

3.3 CSA Ltd reserves the right to withdraw or cancel any shifts if evidence of valid registration is not provided or is found to be invalid.

4. Reference and Background Checks

4.1 CSA Ltd may carry out reference checks, Disclosure and Barring Service (DBS) checks, and verification of qualifications prior to and during engagement.

4.2 Providing false, inaccurate, or misleading information may result in immediate suspension or termination of engagement.

4.3 CSA Ltd reserves the right to remove a Nurse from assignments pending the outcome of any checks or investigations.

5. Health and Safety

5.1 Nurses must take reasonable care of their own health and safety and that of others while at work.

5.2 Nurses must adhere to all health and safety policies and procedures of the dental practice where they are assigned.

5.3 Nurses must familiarise themselves with emergency procedures, and the practice must show them where they keep the equipment and drugs, including fire exits, first aid arrangements, sharps disposal, and spill management.

5.4 Any accident, injury, or unsafe condition must be reported immediately to the Head Nurse or Practice Manager and to CSA Ltd.

5.5 Nurses must not operate any equipment or perform procedures for which they have not received adequate training.

5.6 Failure to comply with health and safety obligations may result in disciplinary action, suspension, or removal from shifts.

5A. Cross Infection Control & HTM 01-05 Compliance

5A.1 Nurses must comply with infection prevention and control requirements in accordance with HTM 01-05 and the practice’s policies.

5A.2 Nurses must correctly use personal protective equipment (PPE), handle and dispose of sharps appropriately, manage instrument sterilisation, and maintain separation between clean and contaminated zones.

5A.3 Hand hygiene protocols must be followed at all times.

5A.4 Any breach of infection control, spillage, or contamination incident must be reported immediately to the Practice Manager and CSA Ltd.

5A.5 Failure to comply with these requirements may result in removal from assignments or termination of registration with CSA Ltd.

5A.6 CSA Ltd accepts no liability for infection incidents arising from a Nurse’s failure to adhere to infection control procedures.

6. Personal Health Responsibility

6.1 Nurses must bring any required personal medication to the workplace.

6.2 Nurses must notify the Practice Manager of any allergies (including to latex, food, or chemicals), skin conditions, or health issues that may affect safety or performance.

6.3 Nurses remain personally responsible for the management of their own medical conditions and avoidance of allergen exposure.

6.4 CSA Ltd shall not be held liable for allergic reactions, medical complications, or sensitivities resulting from the Nurse’s personal health conditions.

7. Uniform and Dress Code

7.1 Nurses must attend each shift in professional scrubs.

7.2 CSA Ltd can provide branded scrubs at a cost of £80 per set, if required. ( 5-6 working business days) 

7.3 Appropriate clinical footwear such as trainers or Crocs (provided by the Nurse) must be worn.

7.4 Jewellery, heavy makeup, nail extensions, and false nails are strictly prohibited.

7.5 Uniforms must be clean, presentable, and in good condition.

7.6 Hair must be clean, neatly tied back, and makeup must be minimal.

7.7 For religious purposes, plain black head coverings and fitted long-sleeve tops are permitted.

7.8 Poor hygiene or failure to comply with the dress code may result in removal from shifts.

8. Behaviour Policy

8.1 CSA Ltd maintains a zero-tolerance policy toward abusive, offensive, discriminatory, or inappropriate behaviour.

8.2 Nurses must not use offensive, sexual, or discriminatory language or behaviour towards patients, colleagues, or practice staff.

8.3 Chewing gum during working hours is strictly prohibited.

8.4 Breaches of this policy may result in immediate removal from assignments and affect future shift allocations.

9. Social Habits Policy

9.1 Nurses must not smoke, vape, or consume alcohol or tobacco products during working hours or on practice premises.

9.2 Failure to comply will result in immediate removal from current and future shifts.

10. Valuable Items

10.1 Nurses are advised not to bring unnecessary valuables to the workplace.

10.2 Any valuables must be stored securely, preferably in areas monitored by CCTV.

10.3 CSA Ltd accepts no responsibility for loss or theft of personal belongings.

11. Absence and Sickness

11.1 Nurses who are unable to attend a confirmed shift must provide at least 24 hours’ notice to CSA Ltd.

11.2 Shifts missed due to sickness or other absences will be unpaid, and the nurse may be subject to a fine or further action.

11.3 Repeated absences without valid reason may result in suspension or termination of registration.

12. Notice Period for Leaving CSA Ltd

12.1 If a nurse wishes to cease working with CSA Ltd, they must provide written notice and await confirmation from CSA Ltd acknowledging receipt and acceptance of the notice.

12.2 Any shifts already accepted must be honoured unless agreed otherwise in writing by CSA Ltd.

13. Work Assignments and Payments

13.1 CSA Ltd allocates shifts based on practice requirements.

13.2 Payment is made on an hourly basis as agreed and confirmed on the day of the shift.

13.3 Rates may vary between practices.

13.4 CSA Ltd is not liable for benefits such as holiday pay or sick pay unless otherwise stated.

13.5 Overtime must be authorised by the practice and CSA Ltd in order to be compensated.

14. Expenses

14.1 All work-related expenses are the responsibility of the Nurse unless expressly agreed.

14.2 Mileage exceeding 20 miles from the Nurse’s home to the practice may be reimbursed at £0.05 per mile upon submission of proof.

15. Insurance and Indemnity

15.1 Nurses must maintain valid professional indemnity insurance and any other necessary cover while registered with CSA Ltd. And submit the updated documentation along  side with the rest of required documents.

15.2 CSA Ltd accepts no liability for any claims arising from a nurse’s failure to maintain adequate professional indemnity insurance. CSA Ltd reserves the right to impose a fine or take appropriate action if a nurse’s insurance is invalid, illegitimate, or not kept up to date while working as a locum.

16. Professional Conduct

16.1 Nurses must adhere to professional standards as set by the General Dental Council and individual practice policies.

16.2 Breaches of professional conduct may result in suspension or permanent removal from CSA Ltd’s register.

17. No Direct Engagement Clause

17.1 Nurses must not enter into direct contractual arrangements with any dental practice introduced by CSA Ltd without CSA Ltd’s prior written consent.

17.2 Breach of this clause may result in legal action to recover lost fees or damages.

18. Data Protection and Privacy

18.1 CSA Ltd processes personal data in compliance with the UK General Data Protection Regulation (UK GDPR).

18.2 Data is collected solely for work allocation, communication, payroll, and compliance purposes.

18.3 Personal information will not be shared with third parties except where required by law or for assignment facilitation.

19. Confidentiality

19.1 Nurses must maintain strict confidentiality regarding patient information, practice operations, and CSA Ltd business affairs.

19.2 Any unauthorised disclosure of confidential information may result in termination of engagement and potential legal action.

20. Termination and Suspension

20.1 CSA Ltd reserves the right to suspend or terminate a Nurse’s assignments with immediate effect in cases of misconduct, breach of policy, or failure to maintain required standards.

20.2 Written notice of suspension or termination will be provided.

21. Dispute Resolution

21.1 Any disputes between a Nurse and CSA Ltd should first be raised in writing with CSA Ltd management.

21.2 Both parties agree to seek amicable resolution before pursuing legal proceedings.

22. Liability

22.1 CSA Ltd acts solely as an intermediary between the Nurse and the dental practice.

22.2 CSA Ltd shall not be held liable for any disputes, claims, or damages arising from the Nurse’s conduct, negligence, or omissions.

23. Force Majeure

23.1 CSA Ltd shall not be liable for failure or delay in performance caused by circumstances beyond its reasonable control, including pandemics, strikes, or natural disasters.

24. Limitation of Liability

24.1 CSA Ltd shall not be liable for indirect, incidental, or consequential losses arising from work assignments or engagements arranged through the company.

25. Mobile Phone Policy

25.1 The use of mobile phones during working hours is strictly prohibited.

25.2 In emergencies, family members may contact the Nurse through the practice’s reception or management.

25.3 Breach of this policy may result in removal from shifts.

26. Parking and Vehicles

26.1 Nurses are responsible for arranging suitable parking when attending a practice.

26.2 CSA Ltd accepts no responsibility for parking fines, towing fees, or vehicle damage.

27. Amendments

27.1 CSA Ltd reserves the right to amend these Terms and Conditions at any time.

27.2 Nurses will be notified of updates, and continued acceptance of shifts constitutes agreement to the revised Terms.

28. Governing Law

28.1 These Terms and Conditions are governed by and construed in accordance with the laws of England and Wales.

28.2 The parties agree to submit to the exclusive jurisdiction of the courts of England and Wales.

Acceptance of Terms

By registering with ChairSide Assist Ltd and accepting shifts, the Nurse acknowledges that they have read, understood, and agreed to be bound by these Terms and Conditions in full.

Any breach of these Terms and Conditions by the Nurse shall render the Nurse liable for all resulting consequences, and CSA Ltd reserves the right to take all legal and remedial action deemed necessary.
